How Angie’s HR collects, uses, shares and protects personal information — including the employee records we hold on behalf of the companies that use our platform.
If you are an employee reading this: your employer decides what goes into Angie’s HR and who can see it. We hold that information for them, and we act on their instructions. To see, correct or ask about your record, start with your employer’s HR contact — we are not able to change an employer’s records on an employee’s instruction alone.
1. Who we are
Angie’s HR LLC, a Florida limited liability company, operates the website at angieshr.com and the HR platform at app.angieshr.com.
2. Two different roles
We handle personal information in two distinct ways, and it matters which one applies:
- As a service provider to our clients. Employee records inside the platform belong to the client company that put them there. That company decides what is collected, who can see it, and how long it is kept within their account. We process it on their behalf, under their instructions and our agreement with them.
- For our own business. Information about our clients and prospective clients — the contact who signs up, billing details, enquiries from our website — is information we control and use to run our business.
3. What we collect
Information you give us directly
- Enquiries. Name, email, company, phone and anything you write in the contact form on angieshr.com.
- Account details. Name and email address for each person given a sign-in, and their assigned role and permissions.
- Billing. Company billing contact and billing email. Card details go directly to our payment processor — see section 6.
Employee records, entered by client companies
Client companies use the platform to hold employee information. Depending on what a client chooses to use, this can include:
- Name, home address, personal email, phone number, date of birth
- Social Security number
- Job title, division, manager, start date, employment status
- Pay rate and compensation details
- Benefits elections and dependants
- Time-clock entries, timesheets, paid time off and holidays
- Signed policy acknowledgments, handbook sign-offs, and typed or drawn signatures
- Onboarding forms including Form W-4, and Form I-9 identity documents — document type, number, issuing authority and expiry, which may include passport or driver’s licence details
- Performance reviews, training records, certifications, warnings, accolades and survey responses
- Reports an employee raises through the “Raise a Concern” feature
- Demographic information for EEOC reporting, where a client is required to report it
Location information
Where a client company has set up a work location with a geofence, the platform records the device’s GPS coordinates at the moment an employee clocks in or out, and checks whether that point falls inside the permitted radius. We use this only to verify the clock-in happened at a work location. It is captured at those moments, not continuously, and we do not track employees between clock-ins.
Whether this is switched on is the client company’s decision. That company is responsible for telling its employees about it and for meeting the notice and consent requirements that apply where they work.
Information collected automatically
- Basic technical information such as browser and device details recorded against system activity.
- Records of actions taken in the platform — who signed in, what was changed, when notifications were sent — kept for security and audit purposes.
We do not use advertising cookies or third-party tracking on our website.
4. How we use it
- To provide, operate and secure the platform.
- To send transactional email — sign-in invitations, password resets, notifications a client has configured, invoices and support replies.
- To take payment and keep billing records.
- To provide support, and to investigate and fix problems.
- To detect, prevent and respond to fraud, abuse and security incidents.
- To meet our own legal and accounting obligations.
- To respond to enquiries from our website and follow up about our services.
We do not sell personal information, and we do not share it for cross-context behavioural advertising. We do not use employee records to train machine-learning models.
5. When we share it
We share personal information only in these circumstances:
- With the client company whose account the information belongs to, according to the permissions that company has configured.
- With the service providers listed in section 6, who process it on our behalf under contract.
- Where a client tells us to — for example, by connecting their QuickBooks Online account.
- Where the law requires it, or to establish, exercise or defend legal claims. If we are compelled to disclose a client’s data we will tell that client unless we are legally prevented from doing so.
- In a business transfer — if the business is sold or merged, information may transfer with it, subject to this policy.
6. Service providers we use
| Provider | What they do for us |
|---|---|
| Supabase | Hosts the database and handles sign-in and authentication. Employee records are stored here. |
| Stripe | Processes card payments and stores payment methods. Card numbers go directly to Stripe and never reach our systems. |
| Resend | Delivers transactional email — invitations, notifications, invoices, support replies. |
| Intuit (QuickBooks Online) | Optional. Only if a client connects it, and only for the employee information that client chooses to sync. |
| DreamHost | Hosts this public website. No employee records are held here. |
All of these process information in the United States.
7. How long we keep it
- While a client is active, we keep their data for as long as their account is open. Within the account, the client controls what is deleted and when.
- After a client leaves, they have 90 days to export their data. After that we delete it from active systems, and it is removed from routine backups in the ordinary course.
- Billing and tax records are kept as long as the law requires.
- Website enquiries are kept while we are in contact and for a reasonable period afterwards.
8. How we protect it
We use encryption in transit, encryption at rest at the storage layer provided by our hosting provider, database-level rules that keep each client’s records separate from every other client’s, role-based permissions the client controls, optional two-factor authentication, and restricted access to sensitive fields such as Social Security numbers.
No system is completely secure, and we cannot guarantee absolute security. If a breach affects personal information we hold, we will notify the affected client company without undue delay, and will notify individuals and regulators where the law requires it.
9. Your rights
Depending on where you live, you may have rights to access, correct, delete or receive a copy of your personal information, and to object to or restrict certain processing. You also have the right not to be discriminated against for exercising them.
How to exercise them depends on which role applies:
- Employee records: contact your employer’s HR administrator. They control the record. If a client company asks us to help with an employee’s request, we will.
- Our own client and enquiry records: email us at the address in section 12 and we will respond as required by law.
10. Children
The platform is for workplace use and is not directed to children under 13. We do not knowingly collect information from them. Where a client records information about a minor employee or a dependant, that information is the client’s to manage under their own obligations.
11. Changes to this policy
We may update this policy. The date at the top shows when it last changed. If a change is material we will give notice to client administrators by email or in the platform before it takes effect.
